Position Overview

Highland Medical Center is seeking a dependable and detail-oriented Administrative Assistant to support daily administrative and office operations across our organization. This role is an important part of keeping HMC running smoothly while providing a welcoming, professional experience for patients, staff, and community partners.
In this vital part-time role, you’ll support leadership and multiple departments through organization, communication, and attention to detail. From preparing documents and meeting materials to assisting with deposits, mail, and office coordination, your work will directly support HMC’s mission of delivering quality care close to home.
What You’ll Do:

Answer and direct phone calls; perform copying, filing, scanning, and data entry

Prepare daily deposits for HMC, HMC Pharmacy, and donations; assist with invoice reconciliation

Collect prior-day patient payments and maintain accurate donation tracking records

Order, receive, and organize office and housekeeping supplies

Prepare new patient packets, Board Member notebooks, and New Hire Orientation materials

Pick up, sort, and distribute mail and packages; schedule UPS and FedEx pickups

Take accurate meeting minutes and prepare agendas for HMC meetings

Assist with setup for monthly All Staff Meetings

Support leadership with administrative tasks and daily office needs

Maintain confidentiality when handling sensitive patient, financial, and donation information

Assist with special projects and other duties as assigned
What We’re Looking For:
-
High school diploma or GED required
-
Previous office or administrative experience preferred
-
Strong organizational, communication, and time-management skills
-
Ability to manage multiple tasks while maintaining accuracy and professionalism

Proficiency with Microsoft Office, electronic health records, and standard office equipment
-
BLS certification required (free certification provided!)

Position Details:

Hours: 20 hours per week, Monday - Friday

Pay Range: $ 15 - $16 per hour
